The problem
Supply chain invoices don't arrive ready to pay
Every part of the matching process varies. Supplier invoices arrive in their own formats, as poor-quality scans, over multiple pages, with abbreviations and units of measure that differ from the purchase order, or referencing several POs at once. Goods receipts arrive split, partial or late. And a large share of supply chain spend, from fuel and fleet maintenance to labour hire, property and services, has no purchase order at all, so it has to be coded, allocated and approved by hand.
Most ERPs cannot handle that variation, so people fill the gaps with emails, spreadsheets and manual keying, and the real process lives in the heads of a few key people. Treasury estimates that around 90% of invoice processing in Australia is still fully or partly manual.
That manual work is where the cost sits. ATO estimates, based on Deloitte Access Economics research, put the cost of processing a PDF invoice at $27.67, almost as much as a paper invoice at $30.87. Turning paper into a PDF barely changes the cost. Turning a PDF into structured, validated data does.
A manual queue also hides risk: duplicate invoices, price and quantity variances, and changed bank details that put payments at risk. It hides cost too, because the true cost base is only known once the backlog is cleared at month-end. And it slows approval, at a time when large businesses' payment times to small suppliers are publicly reported under the Payment Times Reporting Scheme.
What is accounts payable automation?
Accounts payable automation is the use of software to capture, validate and process supplier invoices without manual data entry. It reads each invoice, extracts the line detail, checks the vendor and bank details, matches it against the purchase order and goods receipt in a three-way match, and prepares the approved result for payment in your ERP. Invoices without a purchase order are coded to the right general ledger account and routed for approval.
In supply chain businesses, AP automation has to handle invoices that never follow a fixed template, from hundreds of suppliers, often with units of measure that differ from the purchase order and costs that need to be split across products, sites or contracts. LOGIDOX reads that unstructured information, validates it against supply chain business rules, and turns it into structured data your finance system can act on, for businesses across Australia and New Zealand.
Who it's for
Built for the way supply chain businesses buy
Manufacturers, FMCG, CPG and distributors
- High volumes of PO-backed invoices across hundreds of suppliers
- Unit of measure, pack size and unit price mismatches against the PO
- Invoices covering many SKUs and deliveries that finance has to split and code by hand
- Split, partial and late goods receipts holding up the match
Logistics operators
3PLs, carriers, transport and warehousing businesses
- Mostly non-PO spend: fuel, fleet maintenance, tyres, labour hire, property and utilities
- Costs to be coded and allocated across depots, sites, contracts and customers
- Approvals spread across operational managers in many locations
- Many small-business suppliers, under growing scrutiny on payment times
Paying carriers and subcontractors for freight? That runs through LOGIDOX Freight Audit and Payment, matched against your rate cards and proof of delivery.
How matching works
PO or non-PO, every invoice is checked against the evidence behind it
Whether an invoice comes with a purchase order or not, the control is the same: it shouldn't be paid until it's been checked against something that proves it's right. LOGIDOX applies that check to every invoice, automatically.
| Invoice | Checked against | Then |
|---|---|---|
| PO invoice (goods and materials) | Purchase order and goods receipt (three-way match) | Coded, split by SKU, posted for approval |
| Blanket or multi-PO invoice | Each PO line and receipt it references | Coded, split by SKU, posted for approval |
| Non-PO invoice (services and operating costs) | Supplier rules, coding history and your delegation of authority | Coded, allocated, routed for DOA approval |
| Non-PO invoice needing a PO | Invoice details | Retrospective PO created, then matched |
How it works
How LOGIDOX automates accounts payable
Three steps take a messy supplier invoice from inbox to ready for approval, with people involved only where judgement is needed.
Reads
LOGIDOX ingests supplier invoices from shared AP inboxes and central repositories, including multi-page invoices and poor-quality scans. It understands the detail inside them, with no templates or fixed rules required.
Validates
Each invoice is checked for vendor and bank details, units of measure and supplier-specific rules. PO invoices are matched against the purchase order and goods receipt in a three-way match. Non-PO invoices are checked against coding rules and routed through your approval workflow. Anything that doesn't reconcile is flagged for review in a simple exception queue.
Posts
Costs are coded and allocated down to SKU, site, business unit, or contract level, and clean, structured data is posted to your ERP ready for approval and payment, with a full record of what was processed, what was checked and why.
Capabilities
Built for the complexity generic AP tools cannot handle
Variation in every part of the matching process is where generic tools fall over. LOGIDOX is built for it.
PO invoices
- Three-way matching across invoice, purchase order and goods receipt
- Unit of measure and unit price interpretation and conversion
- Single-line, multi-line, blanket and custom PO configurations
- Supplier-specific rules for tax, variance tolerances and unit price differences
Non-PO invoices
- Automated general ledger coding for services and operating costs
- Cost allocation across sites, depots, contracts and customers
- Retrospective PO creation from invoice details
- Routing through your delegation of authority (DOA) approvals, including across multiple locations
Goods receipting and coding
- Partial deliveries, split batch receipting and delayed goods receipt checks
- Auto goods receipt with single-click approval
- General ledger coding and cost splits down to individual SKU level, including invoices covering multiple deliveries
Controls across every invoice
- Duplicate invoices and anomalies detected before payment
- Changes to supplier bank details flagged before every payment run
- Supplier-specific layouts, multi-page invoices and file formats
- AI-based correction for poor-quality scans; abbreviations and shorthand interpreted
- Automated inbox management and notification-driven workflows
- A traceable record of every invoice from receipt to posting
Freight invoices follow a different path, matched against the rate card and the delivery record. See LOGIDOX Freight Audit and Payment and delivery docket and proof of delivery processing.
What accounts payable automation gives your finance team
Know your cost per invoice
Manual PDF invoices cost Australian businesses an estimated $27.67 each to process. LOGIDOX customers process invoices at $2.85 per invoice^. Automation turns AP from an unmeasured overhead into a cost you can track and reduce.
Stop paying fraudsters
Changed bank details, duplicate invoices and price and quantity variances are flagged when the invoice is processed, before the pay run, not discovered after the money has gone.
Know your cost base at any point in time
Invoices are processed as they arrive, not when someone gets to them. Your accruals update in near real time, so you know what you've committed, what's been incurred and what's been invoiced on any day of the month, not just after the close.
Forecast and manage cash with confidence
With every liability visible as it lands, finance can see what's due and when, forecast cash accurately and time payments to protect working capital. No surprise invoices, no backlog distorting the forecast.
See cost by product, site, business unit and contract
LOGIDOX handles complex general ledger coding across deliveries and splits costs down to individual SKU level, automatically. Manufacturers and FMCG businesses get accurate cost of goods by product and category. Logistics operators see operating costs by depot, site, division, contract or customer. Finance gets the cost side of margin as it happens, not rebuilt in spreadsheets after month-end.
Close faster, on data rather than estimates
Because matching happens continuously, month-end is a review of numbers that are already there, not a scramble to clear a backlog and estimate what's missing.
Pay on your terms, on time
Invoices are matched and ready for approval in under 90 seconds, not days. You choose when to pay. Late payments caused by a processing backlog stop, supporting your Payment Times Reporting obligations to small-business suppliers.
Scale without adding headcount
LOGIDOX clients can support more than 50,000 invoices per AP FTE each year, against a cross-industry median of around 9,400. Volume grows without growing the team.
Audit-ready by default
Every invoice carries a traceable record from receipt to posting, including the documents it was matched against and who approved exceptions. It stands up to internal and external audit.
Connect to your systems
LOGIDOX can integrate with SAP (S/4HANA, ECC), Infor M3, Microsoft Dynamics 365, Pronto, NetSuite and custom APIs, so data lands where your finance team already works.

Why LOGIDOX
Not OCR. Not a template-based tool. Purpose-built for the supply chain.
Most tools break the moment a supplier changes a layout. LOGIDOX was built for the messy reality of supply chain paperwork, and it stays accurate as your documents change.
Understands, not just reads
OCR pulls text off a page and leaves the checking to you. Template-based tools break when a format or supplier changes. LOGIDOX understands supply chain documents and business rules and keeps working as they change.
Deep in supply chain
LOGIDOX focuses only on supply chain and logistics. It recognises supplier invoices, purchase orders, goods receipts, SKUs and units of measure out of the box, rather than treating them as generic documents.
Trusted where the volume is real
ASX-listed and privately owned supply chain and logistics businesses use LOGIDOX for accounts payable, including one manufacturing business running around 200 unique suppliers through eight classifications of complex business rules. Winner of the Supply Chain and Logistics Association of Australia (SCLAA) Start-Up Award 2023.
Secure and local
Cloud-based, with enterprise-grade security. Data is encrypted and processed in Australia. ISO 27001 certification is in progress, expected by the end of 2026.

FAQs
Accounts payable automation, answered
About AP automation
What is accounts payable automation?
Accounts payable automation is the use of software to capture, validate and process supplier invoices without manual data entry. It reads each invoice, checks vendor and bank details, matches the invoice against the purchase order and goods receipt, and prepares it for approval and payment in your ERP. In supply chain businesses it also has to handle invoices from hundreds of suppliers in formats that never follow a fixed template, which is what LOGIDOX is built to do.
How much does it cost to process an invoice in Australia?
ATO estimates based on Deloitte Access Economics research put the cost at $30.87 for a paper invoice, $27.67 for a PDF invoice and $9.18 for a structured e-invoice. Most of that cost is manual handling: keying, checking, chasing approvals and fixing exceptions. AP automation reduces it by turning PDF and scanned invoices into structured, validated data without requiring suppliers to change how they invoice.
How much manual work can AP automation remove?
Treasury estimates that around 90% of invoice processing in Australia is still fully or partly manual. With LOGIDOX, fewer than 10% of invoices need manual keying and 80 to 90% of process steps are automated, so one AP FTE can support more than 50,000 invoices a year. Because people only review flagged exceptions, throughput grows with volume without adding proportional headcount.
How long does it take to implement AP automation?
Most LOGIDOX customers are live in 12 to 15 weeks, depending on the scope and complexity of their accounts payable process. Timelines are longer where there are complex business rules to configure, or heavily customised ERP and finance system integrations. The LOGIDOX team works closely with finance, operations and IT stakeholders throughout, from mapping business rules and approval workflows to testing each integration before go-live.
How is AP automation priced?
AP automation is usually priced as a subscription based on invoice volume, often with a one-time setup fee. LOGIDOX charges a one-time configuration fee, set once your business requirements have been assessed, and a monthly fee tiered by invoice volume and the features you need. That gives you a transparent, consistent monthly cost. The monthly fee includes platform role-based user access, automated processing, analytics and reporting, and dedicated support. Contract terms range from 12 to 36 months.
Manufacturers, FMCG, CPG and distributors
How does AP automation work for supply chain supplier invoices?
LOGIDOX ingests supplier invoices from shared inboxes and central repositories and reads the detail inside them. It checks vendor and bank details, converts and checks units of measure, then runs a three-way match across the invoice, purchase order and goods receipt. Invoices that reconcile are posted to your ERP as clean, structured data ready for approval. Anything that doesn't is flagged for review, so your team handles exceptions rather than keying every invoice.
How does AP automation handle unit of measure differences?
Supplier invoices often bill in different units from the purchase order, for example cases against individual units, or kilograms against units. LOGIDOX interprets and converts units of measure and unit prices using supplier-specific rules before matching, so genuine price variances are flagged and conversion differences are not.
Can AP automation code invoices to the general ledger at SKU level?
Yes. Supply chain invoices often cover many products across several deliveries, and most AP tools code them at header level, leaving finance to split costs by hand. LOGIDOX applies complex general ledger coding rules across deliveries and splits costs down to individual SKU level automatically, giving an accurate cost of goods by product and category as invoices arrive.
Logistics operators
How do logistics companies automate accounts payable?
Most of a logistics operator's supplier spend, such as fuel, fleet maintenance, tyres, labour hire, property and utilities, has no purchase order. LOGIDOX reads these invoices, codes them to the general ledger, allocates costs across depots, sites, business units, contracts and customers, and routes them through your delegation of authority approvals, including across multiple locations. Freight payments to carriers and subcontractors are handled separately through LOGIDOX Freight Audit and Payment.
Does LOGIDOX handle non-PO invoices?
Yes. For invoices without a purchase order, such as services, fuel, maintenance and labour hire, LOGIDOX automates general ledger coding and cost allocation, can create a purchase order retrospectively from the invoice details, and routes the invoice through your delegation of authority (DOA) approval workflow.
Does LOGIDOX accounts payable handle freight invoices?
Freight invoices follow their own workflow. They are matched against the rate card and proof of delivery through LOGIDOX Freight Audit and Payment, usually managed by the transport or logistics team. Many LOGIDOX customers run both, with accounts payable covering all other supplier spend.
Cost visibility and cash flow
How does AP automation give real-time visibility of accruals and costs?
In a manual AP process, invoices sit in a queue until someone keys them, so the cost base is only accurate after month-end. LOGIDOX processes invoices as they arrive and matches them against purchase orders and goods receipts, so accruals update in near real time. Finance can see committed, incurred and invoiced costs on any day of the month.
How does AP automation improve cash flow management?
Cash forecasting is only as good as your view of what you owe. When invoices are processed as they arrive, every liability and its due date is visible immediately, rather than weeks later. Finance can forecast cash accurately, time payments to protect working capital, and avoid surprises from invoices that were sitting unprocessed.
How does AP automation help with Payment Times Reporting?
Under the Payment Times Reporting Scheme, large Australian businesses report how quickly they pay small-business suppliers, and the slowest payers can be required to publish that they are a slow small-business payer. Most late payments are caused by invoices waiting in a manual queue, not by payment terms. LOGIDOX matches invoices and makes them ready for approval in seconds, so payments go out on time and on your terms.
Controls, systems and security
How does AP automation prevent payment fraud?
LOGIDOX checks every invoice's vendor and bank details against your supplier master data. Changed bank details, duplicate invoices and unusual amounts are flagged before the pay run, which reduces exposure to business email compromise and invoice fraud.
How is supply chain accounts payable different from freight audit and payment?
Supply chain accounts payable covers invoices across every category of supplier spend, matched against the purchase order and goods receipt, or coded and approved when there is no purchase order. Freight audit and payment is a separate process, usually run by the transport or logistics team, where freight invoices are matched against the rate card and the delivery record. LOGIDOX supports both, with freight handled in its own workflow.
Is LOGIDOX the same as OCR or IDP software?
No. OCR reads text off a page and leaves the checking to you. Standard intelligent document processing extracts predefined fields using fixed templates and breaks when a supplier or format changes. LOGIDOX understands supply chain information across emails, documents and images, applies supply chain business rules to the accounts payable workflow, and keeps working as documents change without reconfiguration.
Which ERP systems does LOGIDOX integrate with?
LOGIDOX can be integrated with SAP (S/4HANA, ECC), Infor M3, Pronto, NetSuite, Microsoft Dynamics 365, and with custom APIs for other ERP and payment systems, so validated invoice data is posted straight into the systems your finance team already uses. Because most ERPs are customised, LOGIDOX works with your team or system integrator to build and test each connection.
Where is my data stored?
Data is encrypted and processed in Australia and governed by Australian law. LOGIDOX's AWS infrastructure is hosted and operated within Australia, in the Asia Pacific (Sydney) region.
